5R Commerce Solutions LLC, a Georgia limited liability company doing business as Sydon AI (“Sydon”, “we”, “us”, “our”) runs CUBE 2026 with CodeQuesters. This policy explains how we handle personal data on this website and throughout the Programme. It sits alongside our Terms of Use, and alongside the Sydon.AI platform privacy policy, which covers the Sydon product rather than this event.
01What we collect
Application data. Your name, email address, phone number where you give it, city, education or employment status, links to your GitHub or other public repositories, portfolio or profile links, and anything you write in your application.
Participation data. The domain you select, your submitted code and commits, your pod assignment, evaluation scores and judges’ notes, and your attendance at sessions.
Communications. Emails, messages in Programme channels, and support requests you send to support@sydon.ai.
Media. Photographs, recordings and streams of sessions, demos and defences you take part in.
Technical data from this website. IP address, browser and device type, referring page, pages viewed and approximate location derived from IP. This is standard server and analytics data.
02Where it comes from
Almost all of it comes from you: your application, your submissions and your messages. Some comes automatically from your browser when you visit this site. Some comes from the public repositories and profiles you link to in your application, which we read to review your evidence.
03Why we use it
To run the Programme: to review applications, select participants, assign domains and pods, give you access to the starter repository, run the rounds, and contact you about dates, deadlines and results.
To judge fairly: to evaluate submissions, record scores, and support the panel’s decisions at the Grand Finale.
To award prizes: to verify winners and make payments, including any tax reporting the law requires.
To cover the Programme: recaps, social posts and showcases naming finalists and showing their work, as described in the Terms of Use.
To improve and secure the site: to understand which pages are used, to fix problems, and to protect the site from abuse.
To talk to you about Sydon.AI, where you have asked us to, for example a career conversation with our engineering team. We do not add you to a marketing list because you applied.
04Our legal basis
Where data-protection law applies to you, we rely on: performance of a contract, to run the Programme you registered for; our legitimate interests, to operate, secure and publicise the Programme; consent, for optional things such as marketing emails or being named where you have asked not to be; and legal obligation, for tax and accounting records relating to prizes.
Where we rely on consent you can withdraw it at any time, and that does not affect anything we did before you withdrew it.
05Who we share it with
CodeQuesters, our Programme partner, so that they can co-run the Programme with us.
Judges and reviewers, who see submissions and the material needed to score them.
Service providers who process data on our behalf: our registration partner, code hosting, email, communication and video platforms, analytics, and payment providers for prize transfers. They act on our instructions.
Authorities, where the law requires it, and professional advisers where we need advice.
We do not sell your personal data, and we do not share it with advertisers.
06International transfers
Sydon is based in the United States and the Programme has participants in India, so your data may be transferred to and processed in countries other than your own. Where a transfer is subject to data-protection law, we use an appropriate safeguard for it, such as standard contractual clauses.
07Cookies and analytics
This site uses only what it needs to work, plus privacy-respecting analytics to count page views and understand which pages are useful. We do not use advertising cookies and we do not track you across other websites.
Pages that embed a third party (a registration widget, a video player, a map) may set that third party’s own cookies. Your browser settings control cookies, and blocking them will not stop you using this site.
08How long we keep it
Application and participation data: for the duration of the Programme and for up to 24 months afterwards, so we can answer questions, run the alumni community and follow up on career conversations.
Prize and payment records: for as long as tax and accounting law requires.
Recordings and published coverage: indefinitely, unless you ask us to remove your material from future use.
Website analytics: in aggregate, without identifying you individually.
09How we protect it
Access to application and evaluation data is limited to the people who need it to run or judge the Programme. Data is transmitted over encrypted connections and held in access-controlled systems. No system is perfectly secure, so we cannot guarantee absolute security, but we take it seriously and we will tell you and the relevant authority if a breach affects you and the law requires notification.
10Your rights
Depending on where you live, you may have the right to access the personal data we hold about you, to have it corrected, to have it deleted, to object to or restrict how we use it, to receive a portable copy, and to withdraw consent.
To exercise any of these, write to support@sydon.ai. We will respond within the time the applicable law allows, normally within 30 days. Withdrawing data we need to run the Programme may mean we can no longer include you in it.
If you are unhappy with our response you may complain to your local data-protection authority.
11Young participants
The Programme is open from age 16, and applicants under 18 need the consent of a parent or legal guardian. We do not knowingly collect data from anyone under 16. If you believe we have, write to support@sydon.ai and we will delete it.
12Other Sydon services
This policy covers CUBE 2026 and this website. The Sydon.AI commerce platform is covered by its own privacy policy at sydon.ai/privacy, which is the one that applies if you become a Sydon customer.
13Changes to this policy
We may update this policy. The date at the top of this page shows when it last changed, and we will announce material changes on this site and by email to registered participants.
